Privacy Policy
This policy explains how Mindsbeam Technologies Inc. ("we", "us") handles personal information when you use Vana, the System One decision API sold under the annamal.ai brand, including vana.annamal.ai, the console, the API and the documentation (the "Service"). It does not cover Naaledge AI or other annamal.ai products, which have their own policies.
Who this covers
It covers visitors to our site, people with an account, and the people who build with the API. Many API customers send us data about their own users. In that case the customer decides what to send and why, and we process the data on the customer's behalf to run the Service.
What we collect
- Account details. Name, email address, organization, and sign-in credentials.
- Billing details. Top-up history, balance, and the last four digits and brand of your card. Card numbers are handled by a third-party payment processor, and we do not store them.
- API usage. Request time, key identifier, model, input and output token counts, response status and latency, and error codes. We need these for billing, rate limits, security and support.
- Inputs and Outputs. The state, questions and instructions you send in a request, and the answers we return. See the next sections for how we treat them.
- Device and site data. IP address, browser, device and pages visited, and approximate location inferred from IP address.
- Communications. What you send when you contact support, and whether you open our emails.
How we use it
- To provide the Service, authenticate you, meter usage and bill you.
- To secure the Service, prevent fraud and abuse, and enforce our Terms.
- To give support and send service messages such as receipts, balance alerts and changes to the Service or our terms.
- To measure and improve the Service. We may produce aggregated or de-identified statistics, for example total request counts.
- To send product updates, which you can turn off at any time.
- To comply with the law and respond to lawful requests.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
Inputs and Outputs
Vana does not use your Inputs or Outputs to train or fine-tune any model. We do not keep the content of requests or answers after the request completes, other than in short-lived operational logs kept for up to [number] days to debug and secure the Service. We do not show your Inputs or Outputs to other customers. We disclose them only to the service providers that help us run the Service, and only as needed, or when the law requires it.
Please do not send full payment card numbers, government ID numbers, passwords or protected health information. If you send personal data about other people, you are responsible for having the right to do so.
Who we share it with
- Service providers that host and operate the Service, process payments, send email, provide analytics and support, and store communications. [List providers, for example cloud hosting, payment processor, email, analytics].
- Affiliates under common control, such as annamal.ai, for operating the Service.
- Authorities and others when we believe disclosure is required by law, to protect rights, safety and security, or to investigate fraud or abuse.
- Buyers and successors in a merger, acquisition, financing or sale of assets, subject to this policy.
- Anyone you tell us to, with your consent.
How long we keep it
- Account and billing records: while your account is open, and afterward as long as needed for taxes, accounting, disputes and legal obligations (generally up to 7 years for financial records).
- Usage metadata: [number] months.

You can ask us to delete your personal data (see below). We may keep what the law requires us to keep.
Cookies and analytics
We use cookies and similar technologies to keep you signed in, remember settings such as light or dark theme, and understand how the site is used. We use [Google Analytics / other] for analytics. You can control cookies in your browser, and turning some off can break sign-in. We do not respond to "Do Not Track" signals, but we honor the Global Privacy Control signal where the law requires it.
Security
We use encryption in transit, access controls and monitoring to protect data. No system is perfectly secure, so we cannot guarantee security. If a breach affects your data, we will notify you as the law requires.
Your choices and rights
You can ask to access, correct, delete or get a copy of your personal data, and you can unsubscribe from marketing email using the link in it. We will still send administrative messages. Email support@annamal.ai and we will respond within the time the law allows. We may need to verify your identity first. If your data is in a customer's account, we may refer you to that customer.
State privacy rights
Depending on where you live in the US, such as California, Colorado, Connecticut, Virginia, Texas and others, you may have the right to know what we collect, to access, correct and delete it, to get a portable copy, to opt out of sale, sharing and targeted advertising, and to appeal a refusal. We do not sell or share personal information as those laws define them. We will not discriminate against you for using these rights. To use them or to appeal, email support@annamal.ai. You can also use an authorized agent.
In the last 12 months we have collected the categories listed under "What we collect" for the purposes listed under "How we use it", and disclosed them to the recipients listed under "Who we share it with".
Children
The Service is for developers and businesses and is not directed to anyone under 18. We do not knowingly collect personal information from children under 18. If you think a child has given us data, write to us and we will delete it.
Where data is processed
The Service is operated in the United States and is intended for US use. If you access it from elsewhere, your data will be transferred to and processed in the United States.
Changes
We may update this policy. We will post the new version with a new date, and email you or show a notice in the console for material changes.
